At Tallyos, our goal is to help companies optimize their productivity through better management and allocation of their human resources. We want to promote two-way transparency between employees and their managers in order to provide accountability and empower both sides of the table. This privacy policy describes the data Tallyos receives from its different users and how we use it to optimize company productivity.

1. Scope

When using the Tallyos application, websites, GPS receivers, and related services (collectively, the "Tallyos platform"), you are trusting us with your information. At Tallyos France SAS ("Tallyos", "we", "us", and/or "our"), we understand this responsibility and make sure to protect your information and put you in control. This privacy policy is meant to help you understand: 1. What information we collect 2. Why we collect it and how it is stored 3. How you can update, manage, export, and delete this data. Beyond this Privacy Policy, your use of Tallyos is also subject to our Terms of Service (www.tallyos.com/terms)

A. Information You Provide to Us

Registration Information

Our users can be divided into three categories which provide different amounts of information upon registering to use the Tallyos platform: your company, its managers, and its employees.

Passwords

The passwords you create to access the Tallyos platform are securely received and stored in an encrypted format. They are never accessible in clear, readable format, even by our developers.

Communications

If you contact us directly, we may require to confirm your registration information (see above), as well as collect additional information. For instance, when you contact our customer service, we will receive your name, the content of your feedback or request and the information you choose to provide, as well as your contact information to follow up such as phone number and/or email address.

B. Information We Collect When You Use the Tallyos Platform

Work Hours Information

Tallyos is all about documenting the work hours of employees for better resource management. For instance, this might include schedule optimization, improved employee remuneration, or more precise client invoicing. In order to do this, we need to know the starting and finishing time of an employee as well as the corresponding worksite.

Location Information

The work hours information (see above) often needs to be coupled with the name of the worksite where the task was executed. This is usually achieved by the employee selecting the name of the worksite for each task. For the more advanced features of the Tallyos platform, exact location (latitude, longitude) of the employee is gathered at sparse time intervals (for instance every two minutes). Your location information is necessary to prove your attendance to your manager or client, and log your correct work hours at each worksite. This location information is collected only locally on the device used (Tallyos GPS receiver, app, or web app) and not transmitted in real-time to any cloud server. The collection of location information is only initiated when the employee has explicitly started a task from the Tallyos platform. In case the user forgets to stop the task and the collection of his location, the Tallyos platform automatically stops the capture after a fixed amount of time or when the user is detected outside of the worksite chosen for the task. Finally, the transfer of the location data to our servers is done asynchronously when the user chooses to perform the upload. The coupling of both these pieces of information is necessary in order to defend attendance to employers and clients as well as compute billable hours.

Device Information

Tallyos receives information from user's devices, including IP address, web browser type, mobile operating system version, phone carrier and manufacturer, device identifier, and push notification tokens. This information is used to promote the compatibility of the Tallyos platform across a wide variety of devices. When using the Tallyos mobile application, we also collect mobile sensor data (such as GPS location, speed, direction, height, acceleration) to improve location accuracy and record the location information mentioned hereabove.

Usage Information

To support our understanding of how you use the Tallyos platform and help us improve it, we automatically receive information about your interactions with the Tallyos platform. For instance, this includes the dates and times of your last login, your time spent using the platform, or your visited pages and actions within the Tallyos platform. This information is notably used for transparency when there are several managers working on the same reports. Knowing who last worked on a document in the platform is useful in collaborating teams.

User Feedback

At Tallyos, we want to make sure our platform is adequately responding to the needs of our different customers. As such, the platform may occasionally ask for feedback and review information. The feedback may be anonymous if required by the user and may be used internally to improve the platform, and/or used publicly to showcase the appreciation from our users.

Cookies

We collect your preference information (language, region, legislation in use) through the use of "cookies". Cookies are simply small text files saved by your Web browser to store basic information and retrieve it in later sessions. We may use both session and persistent cookies. The use of cookies being legally considered as strictly necessary to provide a service expressly requested by the user, no consent is required. A session cookie is deleted after you close your browser while a persistent cookie remains. You can consult your web browser(s) to modify your cookie settings. Please note that if you delete or choose not to accept cookies from us, your Tallyos platform may be missing some features.

C. Information We Collect from Third Parties

Tallyos does not collect any information provided by third-party suppliers such as advertising profile, payment information, demographic data. We believe that not adhering to such practices for now enables us to stay focused on our mission and the quality of our platform as opposed to being distracted with website views, indexing, etc. All our data is collected by us in the terms described in the previous section.

A. Sharing Between Users

All the data that would normally be available internally to the company between the different users of the Tallyos platform is shared. For instance, in a company, managers usually have access to the schedules of their direct and indirect reports. Same goes for the Tallyos platform where the managers are able to see basic information of employees such as name, and also the information linked to their use of the Tallyos platform: recorded work hours and locations (when available). Managers only have access to the information of their own employees on the Tallyos platform.

No real-time location information is shared on the Tallyos platform.

All the data collected by Tallyos remains private to the company and no data is shared between the different companies using the Tallyos platform.

B. Sharing Between Tallyos and Third Parties

Editing and Accessing Your Information

You have the following rights regarding your data: right to access, right to rectify, right to erase (right to oblivion), right to oppose, right to limit processing, right to portability. You may establish general or particular guidelines about the handling of your data following your death. You may, based on motives pertaining to your particular situation, object to the processing of your data.

You can review and edit certain account information by logging in to your account settings and profile. If would like to terminate your Tallyos account, please contact us at contact@denalys.com with your request. If you choose to terminate your account, we will deactivate it for you but may retain information from your account for a certain period of time and disclose it in a manner consistent with our practices under this privacy policy for accounts that are not closed. We also may retain information from your account to collect any fees owed, resolve disputes, troubleshoot problems, analyze usage of the Tallyos Platform, assist with any investigations, prevent fraud, enforce our terms of service, or take other actions as required or permitted by law.

Email Subscriptions

You can always unsubscribe from our commercial or promotional emails but we will still send you relational emails about your account use of the Tallyos platform.

Location Information

You can prevent your device from sharing location information at any time through your device's operating system settings. The Tallyos location receivers and the Tallyos app also have a control to enable/disable location services at any time. However, location and timing information being core to the Tallyos platform, doing so might limit the service and features we are able to provide.

Push Notifications

You can opt out of receiving push notifications through your device settings. Please note that opting out of receiving push notifications may limit the features of the Tallyos platform.

Data Storage Duration

Unless request otherwise, the data is stored indefinitely as a means to improve the Tallyos platform and for backup purposes.

As part of the Tallyos community, we are committed to protecting your data. Although we take reasonable precautions to protect your data, no security measures can be 100% secure.

Changes to Our Privacy Policy

We may make occasional changes to this privacy policy. If such changes occur, we will let you know through the Tallyos platform, by email, or other communication. We encourage you to read this privacy policy periodically to be aware of the latest changes to date. As long as you use the Tallyos platform, you are agreeing to this privacy policy and any updates we make to it.

General Data Protection Regulation

According to act n°78-17 of January 6, 1978 on information technology, data files and civil liberties, and according to the Regulation (EU) 2016/679 (General Data Protection Regulation) concerning the protection of personal information, you have the following rights regarding your data: right to access, right to rectify, right to erase (right to oblivion), right to oppose, right to limit processing, right to portability.
